Location: The successful candidate may be based in one of the following locations: Norway, Sweden, Denmark, Finland and the Netherlands.*
*Other locations within CET time zone that have existing independent Greenpeace National/Regional organisations might be considered on a case by case basis, depending on the hosting capacity availability and compliance, however please note that we can not guarantee hosting ability in every location before we fully assess the situation.

Greenpeace International (GPI) is looking for an Operations Coordinator to facilitate the development and execution of all operational processes within the Operations pillar of the GPI Programme Department, efficiently supporting the implementation of the Global Programme. Working closely with the Head of Operations and relevant teams, you will facilitate internal communication, maintain internal networks, and provide administrative, financial, logistical, and project management assistance to ensure smooth day-to-day operations across the Operations teams. This role is crucial in enhancing the Greenpeace network's performance, cohesion, and alignment from a programme perspective.
The Greenpeace International Programme Department provides vision, strategic direction, steer, and support to the global Greenpeace network in the development and delivery of an ambitious and impactful Global Programme, with a dedicated focus on impact-critical National and Regional Greenpeace Organisations (NROs). The Operations teams within the International Programme Department provide advice, inspiration, guidance, oversight, and support in the areas of actions, investigations, mapping, security, and maritime operations.
In this role you will:
Coordinate and support all operational processes within the Operations pillar of the Programme Department to ensure the effective delivery of the Global Programme.
Provide administrative, logistical, financial and project management assistance in collaboration with the Head of Operations and relevant teams.
Support Head of Operations with budget forecasting and management in coordination with Programme Department Resource Strategists and Finance teams.
Manage contractual relationships with freelancers and suppliers.
Facilitate communication, coordination, and decision-making between the Operations Management Team, broader Operations pillar, and other internal stakeholders.
Design and facilitate Operations meetings, both virtual and in-person.
Manage or support cross-functional projects and department-wide initiatives, including the annual Global Operations Meeting.
Maintain internal knowledge-sharing platforms and communication tools for the Operations teams.
Lead or support the development of tools, materials, and guidance documents that enhance operational collaboration across the Greenpeace network.
Serve as a point of contact for Finance and HR (People & Culture) to ensure Operations staffing and budget processes are running smoothly.
Coordinate Operations-wide inputs from specialised communities for reporting, planning, and evaluation purposes.

Proven experience in operational support, project coordination, or a similar administrative and facilitative role supporting multi-stakeholder initiatives preferably in an international environment.
Experience with budgeting and financial tracking within complex structures.
Experience in coordinating complex projects, including logistical and security planning for events.
Strong organizational skills with the ability to manage multiple priorities and deadlines effectively.
Excellent interpersonal and communication skills, with the ability to build and maintain relationships with diverse stakeholders.
A proactive mindset, with an ability to manage multiple work streams and prioritise effectively.
Experience facilitating meetings and managing internal communications.
Proficiency in using various communication tools, channels, and information management systems.
Fluent written and spoken English, with exceptional communication skills.
Digital literacy skills; the ability to learn and utilise our digital platforms to successfully perform the role function (familiarity with G-Suite, Slack and Zoom is an advantage)

This role will be central to the work delivered by the Operations Pillar, which covers a wide and diverse area. While line managed by the Head of Operations, the post holder will be integrated across all functions in the Pillar, gaining and enhancing a broad range of skills. The Technical Operations team runs the Greenpeace fleet of vessels, ensuring ships and equipment are safe, compliant, and available for global campaign use. The Campaign Development Unit supports National and Regional Offices to creatively and effectively use the fleet and action capacity for real-world impact. The Crew Unit manages, hires, and supports the people who run the ships 24/7, handling contracts, travel, visas, and training. The Global Mapping Hub, created in 2017, supports global campaigns and research through mapping, remote sensing, and GIS analysis. Finally, the Operations Capacity Development Unit builds skills through trainings, skillshares and workshops in Operations functions and facilities the global operations communities of practice.
